Project Management and Continuous Improvement Leader

The University of Virginia's Department of Human Resources is seeking a passionate, experienced individual to join a team of talented individuals within the University of Virginia's Human Resources Continuous Improvement and Project Management Office.

Depending on the candidate's job qualifications, this role will be filled as either a Senior Project Manager and Continuous Improvement Lead (SPM and CIL) position or Manager of Project Management and Continuous Improvement position.

Both positions are responsible for planning, leading, organization and motivating project teams within UVA HR focusing on delivering enterprise-wide or HR-focused initiatives. The SPM and CIL is responsible for managing several concurrent high-visibility projects using a variety of project management methodologies in a fast-paced environment that may cross multiple functions within and outside of UVA HR. This role will also implement continuous improvement projects to create capacity through the elimination of waste and reduce complexity to drive HR toward greater efficiency. At the project level, the SPM and CIL will work consultatively to help put in place the necessary people, processes and tools, while coaching team members as needed, to optimize the efficiency of the project team. While there is a preference for agile PM methodologies, the SPM and CIL will develop project management approaches that are most suitable for each project based on project goals and constraints, using expert judgement on the appropriate blending of principles and practices. UVA HR embraces a culture of continuous improvement as one of its core principles. Accordingly, the SPM and CIL may facilitate the execution of various rapid improvement projects using an established Lean methodology and develop action plans to transform continuous improvement recommendations into the normal way of working across UVA HR.

Additionally, the Manager of Project Management and Continuous Improvement will manage a small team of project managers. This work is focused on coaching, mentoring and supporting employee development and performance engagement. As needed, the Manager will recruit, hire and onboard new team members.

Key duties for both positions include:

Project Management
  • Design, build and maintain project plans, including scope, schedule and risk management.
  • Manage the gathering of requirements and scope across multiple teams or functions.
  • Facilitate agile framework planning activities with functional teams and stakeholders.
  • Organize and lead project status and working meetings, and document decisions and actions to move project forward.
  • Prepare and distribute progress reports and update executive sponsors on progress, risks and resource needs.
  • Manage risks and issues; correct deviations from plans.
  • Create and measure teams according to metrics established by the team.
  • Work with functional owners and stakeholders to ensure they are well-engaged with the team and part of the regular feedback loop.
  • While primarily leveraging Agile methodologies, have experience and expertise to select varied methodologies or processes to best achieve the goals of the project.

Continuous Improvement
  • Champion ongoing process improvement initiatives to implement best practices, build skills and develop a culture of continuous improvement.
  • Lead continuous improvement efforts with teams by implementing takeaways from retrospectives and concrete solutions to make the teams more efficient and improve delivery success.
  • Organize and lead Lean events and train employees on effective Lean processes.

Team Development
  • Assist in team development while holding teams accountable for their commitments.
  • Remove barriers or roadblocks to their work and leverage resources to improve capacity for continuous improvement and project work.
  • Guide and coach teams on agile practices that will help them achieve their commitments and objectives day-to-day, sprint-to-sprint.
  • Mentor team members and other project managers.

Additionally, the Manager of Project Management and Continuous Improvement will:
  • Coach, mentor and develop staff.
  • Provide performance engagement feedback.
  • Maintain regular communication channels, including team meetings, one-on-one meetings, etc.

Qualifications:

Senior Project Manager and Continuous Improvement Lead position:
  • Education: Bachelor's degree preferred with at least seven years of experience. Relevant experience may be considered in lieu of a degree.
  • Required Technical and Professional Expertise: Experience overseeing cross-functional project teams. Proven track record of successfully implementing projects using agile methodologies, including 7 years of experience as a project manager managing large, complex projects with multifunctional teams.
  • Strong interpersonal skills, including mentoring and team building.
  • Strong analytical, planning and organizational skills with an ability to manage competing demands.
  • Experience with SCRUM/agile methodologies with large-scale projects.
  • Experience deploying Lean principles and creating a culture of continuous improvement.
  • Excellent oral and written communications skills and experience interacting with and presenting to stakeholders at all levels, including the executive level.

Preferred Technical and Professional Expertise:
  • PMI PMP or equivalent
  • Lean certification
  • Master's degree, BS or BA

Manager of Project Management and Continuous Improvement
In addition to the qualifications listed for the Senior Project Manager and Continuous Improvement Lead position, the Manager of Project Management and Continuous Improvement will have:
  • Project management office oversight experience.
  • Experience directly supervising, coaching and mentoring other project managers, along with a history of successful project management roles where a wide variety of PM skills and methodologies were applied.
