Medical Office Coordinator - Radiology and Medical Imaging

The Department of Radiology and Medical Imaging seeks a Medical Office Coordinator for the Prince William Hospital to provide support to Prince William, Haymarket, and Culpeper Hospitals by assisting the Department's Community Division radiologists in managing work lists and serving as a liaison with referring physicians from these hospitals.

 

The incumbent performs non-interpretive tasks that ensure imaging interpretation and related requests are addressed in a timely manner and allow radiologists to focus on their primary interpretive and clinical tasks. The incumbent answers inquiries, resolves problems, triages issues, fulfills requests and performs database queries. In addition, the incumbent provides exceptional client service and ensures workflow is maximized.

 

Position responsibilities include:

  • Respond to phone calls and pages, assessing/evaluating information with regard to providing radiologists with adequate data to assist with image interpretation and generation of reports; collect and prepare patient information, including prior studies and prior study results, with late or overdue items are escalated and interpreted.
  • Monitor the undictated exams lists in PACS, as well as the Radiant unsigned exams report.
  • Serve as a point person for the office to coordinate and communicate with Referring Providers, Radiologists, technologists and other offices as requested by reading Radiologist.
  • Manage stat/preliminary reports including supporting reading Radiologist/coordinate communications with referring physicians. Provide assistance to reading Radiologist with all types of communication efforts both internal and external to the Radiology enterprise
  • Interact with various teams to ensure corrective actions and bring Quality Assurance (QA) observations to closure. Represent QA on project team initiatives and participate in special assignments as determined by area supervisor, department manager and/or Vice Chair of Community Division.
  • Create and maintain a ticket database of all customer service calls, including: date, brief description, and how the issue was resolved in a timely manner.
  • Maintain the reading room physical space, including supplies, processing mail, calendar management, etc.
  • Performs other duties as required.

 

Required knowledge, skills, and abilities:

  • Demonstrated proficiency with MS Office Suite and database applications, such as PACS, EPIC, Meditech, Carestream, Power Scribe and related systems.
  • Excellent communication and interpersonal skills (both verbal and written).
  • Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers.
  • Ability to work independently and as part of a team.
  • Ability to work well under pressure, with a close attention to detail.
  • Ability to project/program manage and to multitask while paying attention to details.
  • Strong organizational, decision making, problem solving and communication skills.
  • Able to function independently and must possess the ability to multitask with confidence.
  • Enthusiastic, have excellent customer service skills and a thorough understanding of medical terminology as this role is critical to the function of physicians and referrers.
  • Ability to work in a fast-pace, high volume, collegial environment.
  • Ability to learn quickly, particularly efficient in learning to use new computer software.

 

This is a restricted position; continuation is dependent on funding and satisfactory performance.

MINIMUM REQUIREMENTS:
Education:
High School Diploma or equivalent required

Experience: Two years of administrative experience required, preferably in a healthcare setting or customer service role.

Preferred: Associate's or Bachelor's Degree preferred in business administration, health care administration or related field.
