Administrative Program Coordinator - Center of Advanced Practice Providers

Individual contributors with responsibility in a professional discipline or specialty. Spends majority of time leading the design, implementation, or delivery of processes, implementation of delivery processes, programs, and policies using specialized knowledge and skills normally acquired through advanced education (typically university). Has working knowledge and experience in own discipline. Continues to build knowledge of the organization, processes, and customers. Performs a range of mainly straightforward assignments independently. Uses prescribed guidelines or policies to analyze and resolve problems. Receives a moderate level of guidance and direction.

Develops, recommends, and implements overall business and project management for the Center of Advanced Practice administrative initiatives, programs, and policies.
Requires general business knowledge to plan, organize, and control resources, procedures, and timing for an administrative or business process, including organizing project teams, related responsibilities, developing project schedules, and determining resource requirements. Monitors and reports on the status of projects, including communication strategies, cost, timing, and tracking/reviewing deliverables. Identifies/resolves obstacles to completing project on time and to budget. May include work managing multiple, interrelated projects, including business transformation projects.

Further supports the Center of Advanced Practice (CAP) functions by:
  • Facilitating project logistics, such as scheduling meetings, reserving conference rooms, and conducting conference calls.
  • Taking minutes and action items during meetings and performing basic follow-up.
  • Assisting with coordinating reports and preparing materials for presentations.
  • Providing effective coordination of CAP initiatives/programs/operations.
  • Preparing basic analyses of information and data related to CAP KPIs.
  • Maintaining CAP digital imprint on APP website and other digital platforms related to projects and recognition efforts as needed.
  • Assisting with grant writing.
  • Managing system-level time and attendance for CAP as needed.
  • Identifying and resolving problems.
  • Ensuring compliance with applicable laws and regulatory requirements related to CAP initiatives.
  • Developing effective networks and representing the CAP and UVA Health.
  • In addition to the above job responsibilities, other duties may be assigned.

Position Compensation Range: $19.11 - $29.62 Hourly

  • Education: High school diploma. Bachelor's degree preferred.
  • Experience: 5 years of relevant experience.
  • Licensure: None.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.
